Privacy Policy

I am registered with the ICO (Information Commissioners Office) which means I need to tell you what data I am going to collect from you and what I intend to do with it.

What data do I need to keep and why do I need to keep it?

Name and age: basic information that helps me get to know you.

Address, email, phone number: I use this as a way of contacting you regarding your sessions. I will mainly use the phone to contact you either through a text or call but if I cannot reach you I will email.

Next of Kin/Doctors details: If I was worried or concerned that you were at risk then I may need to contact your next of kin or doctor. (If I can I will tell you that I am doing this) I ask for medication details so if in the unlikely event you ever became ill during the session and I need to call an ambulance I could provide the emergency services with accurate information that would help with their treatment planning as well as provide them with next of kin details.

Session notes: I keep very brief session notes that are anonymous and keep them in a locked filing cabinet.

Will I share your data, who will I share it with and for what purpose?

It is very unlikely that I will share your data. I will not sell it on; use it for marketing purposes or any unethical purposes. I may have to share it if my notes are subpoenaed by court; if you or anyone you tell me about is at harm or risk of harm I may have to pass this information on to the appropriate authorities. I need to inform you that sending personal information via emails and text is not encouraged whilst both my phone and computer are password protected I cannot guarantee that information may not be accessed by external parties. I use Gmail which is encrypted and my email is password protected. I have regular monthly supervision as required by the BACP where I will discuss our work but your identity will remain anonymous.

How will I store your data?

This will depend on the data; contracts, privacy policy and notes will be stored in a locked filing cabinet. Your phone number and email will be stored on my mobile phone with your first name and last initial; only I have access to my phone which is finger print and password protected.

How long will I store your data?

I will keep session notes for 5 years. If you need access to your notes please put a request in writing and I will provide a copy of session notes to you within 28 days.

I will shred personal details when our work is completed this includes your mobile phone number.
